Everything in Proppi runs on the same loop. We call the steps the 5A loop, and each one keeps a specific promise.

A1 · Assets — your documents, read and honest

Drop in PDFs, scanned documents, photos of paper, or forwarded attachments. Proppi reads everything through OCR (Optical Character Recognition), including poor-quality scans and handwritten notes. Every document gets classified — tenancy agreement, insurance policy, rates notice, building report, compliance certificate — and wears its state honestly: ready, needs one quick confirm, or superseded by a newer version. No folders, no renaming, no manual data entry.

A2 · Ask — answers with the page to prove it

Ask about a lease clause, a repair, or a deadline, and Proppi answers from your file with a citation that opens the exact page:

• “When does the lease at 42 Queen Street, Auckland expire?”
• “Which properties have insurance expiring this quarter?”
• “What’s the rent on my Surry Hills unit in Sydney?”
• “Show me the special conditions in the Smith tenancy.”

If the file can’t support an answer, Proppi says what’s missing instead of guessing. And asks become work: “prepare the owner update” turns into a real item you review — not a chat message that scrolls away.

A3 · Approve — consequences first, the decision yours

Prepared work — a compliance review, an accountant pack, a campaign report — waits on your approval, and shows you the exact consequence first: what gets sent, to whom, what it costs. Buttons say what they do. Nothing is published, shared, or sent behind your back.

A4 · Add — results that stick, with receipts

Every approved send, share, and publish leaves a receipt — who approved it, when, against which version of the file. When someone asks what was disclosed and when, the answer is one search, not your sent folder.

A5 · Attention — one queue, watching what’s next

Every important date — lease renewals, insurance expiries, Healthy Homes deadlines, state landlord-compliance checkpoints, land tax instalments, EOFY deduction cut-offs, inspection dates — feeds one queue, ordered by consequence. Each item says why it was raised and hands you one clear next step. No more spreadsheets, no more calendar reminders you set up once and then forget to update.

Who Actually Uses This?
